Policies and Additional Travel Information

For the safety and comfort of our passengers, please review the following policies and contact us should you have any questions.

Prices: All prices are per person, per trip and include the following: roundtrip motorcoach transportation, nightly accommodations, meals, entertainment, admissions, tour guides and all taxes pertaining to the unique itinerary of each trip.

Departure & Return Points: Hornell Wegmans, Bath Kmart, Olean Covered Wagon Tours Office, Painted Post Ames, Horseheads Jubilee, and Dansville former Ames. Departure locations will vary according to individual trip destinations, as well as the demand for a specific pickup location. Please understand Covered Wagon Tours, LLC will do our best to accommodate each individual for pickup. Yet, some circumstances may not allow for all pickup requests. It is the travelers' responsibility to arrive at least 15 minutes prior to departure time. All return times are tentative.

Reservations: Please make reservations by phone or in person to ensure proper booking. To make reservations by telephone, please call (607) 324-4200, (716) 372-1230 or toll free 1 800 481-4211. If you prefer to visit us in person, we have two convenient office locations to serve you.

Deposits: Minimum deposits may be required to ensure passenger tickets are reserved. Failure to provide Covered Wagon Tours, LLC with required deposits and/or payments may result in ticket cancellation. Single-day tours priced at less than $100 require full payment within 7 days of booking. Single day tours priced greater than $100 require a $100 deposit per person; the balance will be due 45 days prior to tour date. Multi-day tours require deposits ranging from $100-$500 per person at time of booking. Please contact our office for tour particulars.

Payments: We accept Visa, MasterCard, American Express, and Discover. If you prefer to mail your payments, please make checks payable to "Covered Wagon Tours" and mail to PO Box 667, Hornell NY 14843 or 528 N. Barry St, Olean NY 14760. A $50 charge will apply for all checks returned due to insufficient funds.

Cancellations: In regard to single-day tours, a cancellation request received more than 45 days in advance of tour date will be refunded with the exception of any non-refundable expenses incurred by Covered Wagon Tours, LLC (example: sports, theatre, concert or cruise tickets). There will be no refunds for single-day tours cancelled fewer than 45 days prior to tour date.

In regard to multi-day tours, cancellations procedures and penalties vary per tour. Please contact our offices for specifics on the cancellation policy for your tour.

At times, it may be necessary for Covered Wagon Tours, LLC to cancel a bus tour, due to lack of participation. In this event, a full refund will be issued to all paid passengers reserved on that tour.

All refundable cancellations MUST BE made during normal business hours, 8:00am - 5:00pm Monday - Friday. Airfare is non-refundable and cruise lines have strict cancellation penalties in addition to Covered Wagon Tours penalties.

Gratuities: Unless otherwise stated, all tips for included meals are paid by Covered Wagon Tours. Gratuities for your Tour Manager and Driver and ship personnel for cruises are included on overnight tours and day trips exluding NYC and Casino Tours. Tipping drivers and tour managers is not required, but is certainly appreciated.

Not Included: Meals, attractions not specifically listed in itinerary, alcoholic beverages, telephone calls, room service and other items of a personal nature, such as valet or laundry service, are not included.

Name Changes: Covered Wagon Tours will allow name changes on day tours up to 2 days prior to departure. If you find a replacement for your seat, there is no service fee to do a name change. If, however, Covered Wagon Tours finds a replacement for your seat on the tour there will be a $10pp service fee.

Rain Checks: Covered Wagon Tours, LLC may be issued a rain check in the event of a cancellation requested by the venue of which the event is held. Should this occur, the rain check becomes the property of the traveler and Covered Wagon Tours, LLC assumes no responsibility for travel to the rescheduled event.

Tickets: Attractions tickets will not be mailed, but will be distributed on the motorcoach. However, a detailed receipt will be emailed to you upon receipt of full payment.

Luggage: We must limit luggage to one large bag per person, weighing no more than 50 pounds per person. We request no hanging garment bags be used. You may also carry one small bag no larger than 8" X 18" X 20". Any carry-on bag or other personal property is solely your responsibility.

Smoking: In the interest of the health and comfort of our passengers, and in compliance with local and federal laws, smoking is prohibited on all of our motorcoaches. Frequent (about every two and a half hours) meal/comfort stops afford the opportunities to smoke outside the coach. Smoking in non-smoking rooms is not allowed. Any cleaning charges for violating hotel policy will be your responsibility.

Seating: Seating is pre-assigned at the time of booking. To ensure you receive the seat(s) you prefer, please make your reservation as early as possible. Occasionally, Covered Wagon Tours may have to change seating to accommodate all passengers on a motorcoach.

Lost or Stolen Property: Covered Wagon Tours, LLC is not responsible for lost or stolen articles. Please be sure to check overhead compartments, under seat storage areas and baggage racks immediately upon return. Should items be unintentionally left behind, please contact our Hornell office at (607) 324-3900 or toll free at 1 800 643-1700 as soon as possible. For our Olean area customers, you can reach us at (716) 372-1230. Any shipping fees to return items will be your responsibility.

Immigration Requirements: All persons traveling by air outside of the United States are required to present a passport book or other valid travel document to enter or re-enter the United States. All persons traveling by land and sea outside of the United States are required to present a passport book/card, or Enhanced drivers license (EDL) are acceptable forms of identification. Covered Wagon Tours is not responsible for insuring you have appropriate documentation and any cost incurred as a result of improper documentation is borne by you. Minors may require additional documentation. Please call for complete requirements for children.

Travel Insurance: Covered Wagon Tours recommends purchasing travel insurance at the time of booking to ensure a full refund in the event of a cancellation request by the passenger. The cost varies according to the cost of the tour. Coverage includes cancellations, interruption, baggage and accident. Ask your sales associate for complete details. A complete brochure containing additional information regarding this insurance is available in either of the travel offices.

Agency Responsibility: Covered Wagon Tours, LLC acts solely as your agent arranging transportation, lodging, sightseeing and other tour services, and as such, is not responsible for damage, loss, delay, injury or accident due to any omission on the part of any company or person engaged in providing lodging, sightseeing, entertainment, transportation, or other services which are part of the tours.

Equipment: All of our motorcoaches are equipped with reclining seats, reading lights, lavoratories, climate control, PA systems and DVD players with monitors. All of our motorcoaches are cleaned thoroughly before every tour to ensure passenger comfort.
